Data Privacy Policy

Solo Search (Solo Search Services Ltd, registered company number 05510409) have reviewed the purposes of our storing and processing activities in line with the General Data Protection Regulations (GDPR) and selected the most appropriate and lawful basis for each activity carried out within the business. The segmentation of our activities are detailed below under the titles, ‘Legitimate Interest’ and ‘Consent’.

Solo Search will be the data controller of any personal data we collect about you in connection with your job search.

Details on how to manage your data are detailed below under the titles ‘Right to Access’, ‘Right to be Forgotten’ and ‘Complaints’.

 

Legitimate Interest

If you have applied for a role Solo Search have advertised on a job board, our company website, our social media or have applied directly after receiving information of the role from any third party we will use the legal basis of legitimate interest to process and store your details in order to find you a new job.

If your CV and details are visible on a public job board Solo Search may at any time access and download these details should we feel your experience is relevant for one of our Clients. Solo Search will do this on the legal basis of legitimate interest. Solo Search will make contact with you within 30 days of downloading your details to make you aware of this.

If your details are stored by Solo Search with legitimate interest, this will be for a maximum time period of 12 months from the date of your application.

It is highly likely Solo Search will try to obtain consent to hold your details within this period, if you choose to give consent, please refer to the section below ‘Consent’ for how we will process your details after this point.

At any time we will only store details provided by you, on your CV, via email, via telephone or any other electronic means, that we deem necessary to support you in a job application.

You have the right to access or update any of the details we hold on our systems at any time and the right to be deleted and forgotten. Please see the below sections titled ‘Right to Access’ and ‘Right to be Forgotten’ for further information and instructions on how to make such a request.

 

Consent

Consent must be provided either in writing, including electronic communication, but not including text message or consent will be provided by you clicking on a unique email link produced via the Solo Search CRM.

Upon receiving consent to store and process your data, Solo Search will store your data for a maximum period of 60 months from the date the consent was given. This consent request may be renewed at any time. You have the right to access or update any of the details we hold on our systems at any time and the right to be deleted at any time even after giving consent, please see the below sections titled ‘Right to Access’ and ‘Right to be Forgotten’ for further information and instructions on how to make such a request.

The data stored will be used to fulfil your recruitment needs only.

If within the 60 month period Solo Search wish to share your data with a third party, separate consent will be requested and full details of where your data is to be sent will be provided to you. Consent to share your data will be accepted verbally.

At Solo Search we do our very best to ensure all third parties we work with have their own up to date data protection policies which can be provided to you upon request at the time of any application.

Please be aware when entering into a recruitment process the third party may also become a data controller, this differs dependent on the third-party company and again can be confirmed upon request by Solo Search at the time of application.

 

Placement

Should Solo Search find you a new role, permanent, temporary, contract or an interim assignment with a Client we will store your details for the duration of the contract being in place with you and said Client. If your contract is directly with Solo Search any data will be stored on a lawful basis to comply with your contract.

 

Right to Access 

You have the right at any time to be provided with all of the data that Solo Search hold on you and have the option to be provided with a unique log on to the Solo Search CRM to take full control of your data. To do this you must contact Solo Search with a written request to GDPR@solosearch.co.uk. The request will be responded to within 30 days and receipt of your request will be confirmed within 5 working days. Should you not receive confirmation of your request within 5 working days please call 01937 541888.

Requests for updates to your stored data should also be sent to GDPR@solosearch.co.uk. These updates will be carried out within 30 days and confirmation will be sent to you via email once the updates have taken place. If you do not receive confirmation within this time frame, please call 01937 541888 to ensure your request has been received.

There will be no charge for updates or provision of data.

Solo Search have the right to refuse any request we deem as unreasonable. Should your request be refused you will be informed within 30 days of these reasons why your request will not be processed. No request will be unreasonably withheld.

 

Right to be Forgotten

You have the right at any time to request for all data held on you at Solo Search to be deleted. To do this you must contact Solo Search with a written request to GDPR@solosearch.co.uk. The request will be carried out within 30 days and receipt of your request will be confirmed within 5 working days. Should you not receive confirmation of your request within 5 working days please call 01937 541888.

 

Complaints

If you are concerned that Solo Search are not handling your data in the correct manner you can make a complaint direct to the ICO, further details of how to do this can be found on their website at https://ico.org.uk/.
